Cancellation Policy for Client Update - 1 July 2026

TL;DR

Starting 1 July 2026, clients may be charged a cancellation penalty when cancelling a booked Jodder on an active job.

Important

  • The policy only applies after a Jodder has been selected/booked.
  • No penalty is charged if no Jodder has been selected.
  • No penalty is charged for job creation mistakes (wrong date, time, or location) provided no Jodder has been selected.
  • Credit deductions follow the existing Company/Location credit deduction rules.

Policy Overview

Effective Date

This policy takes effect on 1 July 2026.

Only cancellations performed on or after the effective date are subject to this policy.

Scope

The cancellation policy applies when:

  • The job is active.
  • A Jodder has been selected/booked.
  • The client cancels the booked Jodder.

The policy does not apply when:

  • No Jodder has been selected.
  • The job is cancelled before any worker is booked.
  • The Hiring Manager removes a mistakenly created job before selecting a Jodder.
  • Any other scenario where no booked Jodder is affected.

Cancellation Scenarios

More Than 24 Hours Before Shift Start

  • No cancellation penalty.
  • No credit deduction.
  • Existing cancellation flow continues unchanged.

Within 24 Hours Before Shift Start

Cancellation penalty:

Hourly Rate × 2 Hours

The calculated amount will be deducted from the client's available credits.


After Shift Start

Cancellation penalty:

Hourly Rate × 4 Hours

This includes:

  • Cancellation after the shift has started.
  • Client no-show scenarios defined by Operations.

The calculated amount will be deducted from the client's available credits.


Credit Deduction

The cancellation penalty follows the existing credit deduction hierarchy.

SOA & Credit Tracking

Since cancellation penalties affect the client's available credits, they should appear as separate transactions in the Statement of Account (SOA).

Instead of merging the deduction with the normal job cost, create a dedicated credit transaction.

Suggested transaction type:

cancellation_penalties

Each transaction should be linked to:

  • Company
  • Location
  • Job
  • Job Slot (optional)
  • Cancelled Jodder

Suggested metadata:

  • Cancellation category
  • Penalty multiplier (2 or 4 hours)
  • Hourly rate
  • Penalty amount
  • Cancelled by
  • Cancellation timestamp
  • Wallet source

Keeping cancellation penalties separate from normal job cost deductions provides:

  • Better transparency for clients.
  • Easier auditing for Finance and Operations.
  • Simpler reporting on cancellation penalties.
  • Clear separation between operational costs and penalties.

Notes

The objective of this policy is to discourage last-minute cancellations after a Jodder has committed to a shift while providing fair compensation for lost earning opportunities.

Clients are only charged when cancelling a booked Jodder on an active job. Corrections to mistakenly created jobs before a Jodder is selected are not subject to any cancellation penalty.
